About Supervising Organization
A Supervising Organization is a non-profit organization responsible for accepting technical intern trainees and providing support for their activities and the host companies.
Specifically, at the request of companies, these organizations handle the recruitment of trainees, the procedures up to acceptance, and local interviews. After the trainees are accepted, they conduct audits and provide guidance to ensure that each company carries out proper technical training.
Additionally, to conduct supervisory activities, the organization must obtain prior approval from the relevant minister. There are specific categories and conditions for obtaining this approval, as outlined below.
Roles of a Supervising Organization [Support Services Provided by OK Support Cooperative]
Monthly Visit and Guidance, and Quarterly Audits
We conduct monthly meetings with the responsible person at the host company to provide information for smoother implementation of technical training and to address various issues related to the trainees. Additionally, we visit the trainees’ dormitories to offer life guidance, follow up on Japanese language studies, and address any concerns the trainees may have, with our staff providing direct support.
Regular On-site Visits to Implementing Organizations
Many trainees may struggle with their tasks or feel confused by Japanese culture in a foreign land. Our staff conducts monthly interviews to support the trainees’ lives and mental well-being in Japan. We are dedicated to supporting the trainees throughout their training period, ensuring they can successfully complete their assignments.
Conducting Post-Arrival Training
After arriving in Japan and before being assigned to a company, technical intern trainees will receive various training sessions to support their future lives and work. These sessions include guidance on the Japanese language and general life in Japan, explanations of the Immigration Control Act and the Labor Standards Act, as well as site visits.
Support in Creating Technical Training Plans
We provide support in creating the technical training plans required for obtaining approval from the Organization for Technical Intern Training (OTIT).
Contracting with Sending Organizations, Placement of Job Offers and Job Seekers
We select local sending organizations and facilitate job placements on behalf of companies. We ensure that the chosen sending organizations are recognized by the local government and that the fees they charge are appropriate. After this evaluation, we finalize the contracts with these organizations.
Protection and Support for Technical Intern Trainees
To assist technical intern trainees as they navigate their new lives and training in Japan, we ensure that they have access to support in their native language. Additionally, we arrange return flights for their homecoming (with the costs covered by the host company). In cases of temporary or urgent returns, the supervising organization provides the necessary support according to the established procedures.
